Planning and Hosting Accessible Events

Making events accessible is crucial for ensuring that all members of our community can participate fully. Proactive planning is key to creating an inclusive environment and minimizing barriers for attendees with disabilities.

Key Considerations for Event Planning

  • Designate an Accessibility Lead: Assign a specific person to be responsible for accessibility. This individual will handle accommodation requests and ensure all accessibility guidelines are met.
  • Include an Accessibility Statement: All event announcements, invitations, and registration forms must include a clear statement about accessibility. This statement should provide a contact person and a deadline for accommodation requests, typically at least two weeks in advance. For example: “If you require accommodations for a disability to participate in this event, please contact [Name/Email/Phone] by [Date] to make arrangements.”
  • Accessible Materials: Provide event materials (presentations, handouts) in accessible formats in advance.
  • Interactive Engagement: Offer multiple ways for participants to engage, such as through chat, Q&A, or polls.
  • Digital and Hybrid Events: Ensure the event follows best practices for digital accessibility.

Accommodation Requests

If you have a disability-based request for your visit, make the request via the event organizer or the department you are visiting at least two weeks* before the event.  Event staff may consult with the ADA Coordinator (slazar@umbc.edu or 410-455-5745) for technical assistance.

*Please note, some accommodations take time to organize.  In all situations, effort will be made, up until the time of the event, to provide reasonable accommodation in consultation with the Office of Accessibility and Disability Services.
